Benefits of the integration for your practice?
- We connect to your Exact software via API, meaning we do not require access to any server computers, and there is no software to install. This eliminates issues that can arise from hardware or server connections.
- The integration will automatically publish availability as set in your Exact Web setup for Online Bookings and also insert booked appointments into your Exact diary.
How does it work?
- As we connect to your Exact Online Bookings, we publish the same availability shown there, and you can manage your availability in the same way. For assistance with this, speak to Exact or view their Online Bookings user guide.
- One of your Exact Online Booking Reasons will become your default reason on Healthengine that we use to pick up practitioner availability. Any practitioners you wish to publish on Healthengine will need to be added to that Booking Reason. The default Booking Reason needs to be at least 30 minutes in order for us to pick up all the availability and stack appointments correctly, and should be a Booking Reason that all your dentists, OHTs and Hygienists do if you wish for those different types of practitioners to be publishing online. If you create a Healthengine Booking Reason, we will automatically use that as your default, otherwise it will use the Booking Reason at the top of your Booking Reasons list, or you can choose a specific Booking Reason you want to use and we can assign that as your default.
- Ensure ‘Appointment Stacking’ is checked so that all your availability is displayed and you don't miss out on patients due to this setting hiding available times that suit them.
- In your Healthengine portal, you then link up your Healthengine appointment types to those in your Exact Web Setup, and match the length to what is set in your Exact Web Setup for each of the different appointment types you have added. If you do not link an appointment type, or the length does not match what is set in your Exact Web Setup Booking Reasons list, then the booking may fail, so do not forget to keep these linked and matching.
- When a patient chooses one of those appointment types online, the integration will automatically insert the appointment into your Exact diary, and allocate the required length. It’s that easy!
- The integration does not support online cancellations, so if a patient needs to cancel or reschedule their appointment, they will call you to do so. You can then remove the appointment from your Exact diary to redisplay the appointment time for another patient to fill.
