We’re introducing 3 new alerts for our integrated practices who use a GP Practice Management Software (PMS) type of Best Practice, Medical Director/Pracsoft or ZedMed.
We’ve spoken with you, we've listened and we've built these 3 alert types based on some of your biggest pain points.

A summary of these new alert types
New Patient Form details not synced
- Issue: The details in the submitted new patient form failed to match and sync to the patient record in your PMS.
New patient booked as existing
- Issue: We could not find any matching patient record for this booking. A new patient record has been created in your PMS and linked to this booking.
Existing patient booked as new
- Issue: This patient booked as a new patient but we found a matching patient record in your PMS for this booking. Please review your records.
A description of these new alert types; what they are, what do they address & how to resolve them
New Patient Form details not synced
- Issue: The details in the submitted new patient form failed to match and sync to the patient record in your PMS.
This alert lets you know that we’ve received a new patient form for a specific booking in your PMS but we are unable to sufficiently match the details provided on the new patient form to the personal details listed in the patient file of your PMS.
So instead of forcing an update of potential misinformation, we attach the PDF copy of the submitted new patient form to the patient file and alert you through Sidebar, that this new patient form needs to be reviewed and the details in the patient file need to be manually updated.
You can view the full version of the submitted new patient form by clicking the ‘See new patient form’ button within the ‘New Patient Form details not synced’ alert.
Once you’ve attended to this alert and you’re ready to move on, you can dismiss the alert by clicking the ‘Mark as complete’ button. This will dismiss the alert for this practice location across all Sidebar applications.
We are currently working on enhancing our Sidebar by increasing its width and thereby improving your navigation journey; with this change we will also be adding the ability to click-to-copy individual fields in the submitted new patient form into your PMS - right from your Sidebar!

New patient booked as existing
- Issue: We could not find any matching patient record for this booking. A new patient record has been created in your PMS and linked to this booking.
This alert notifies you that a patient has selected that they are a returning patient when completing the Healthengine booking form for their appointment but we could not find a matching patient file in the PMS for this patient so we have created a new patient file in your PMS.
The alert will give you the patient details provided on the booking form for this patient so you can triage this within your practice and contact the patient where necessary.
Once you’ve attended to this alert and you’re ready to move on, you can dismiss the alert by clicking the ‘Mark as complete’ button. This will dismiss the alert for this practice location across all Sidebar applications.
Existing patient booked as new
- Issue: This patient booked as a new patient but we found a matching patient record in your PMS for this booking. Please review your records.
This alert notifies you that a patient has selected that they are a first-time patient when completing the Healthengine booking form for their appointment but we found a matching patient file in the PMS for this patient and we’ve inserted this appointment into their active patient file in your PMS.
The alert will give you the patient details provided on the booking form for this patient so you can triage this within your practice and contact the patient where necessary.
Once you’ve attended to this alert and you’re ready to move on, you can dismiss the alert by clicking the ‘Mark as complete’ button. This will dismiss the alert for this practice location across all Sidebar applications.
