Dental Practice Profile - Treatment Costs User Guide Follow


In a February 2020 survey of over 1,200 HealthEngine patients, over 80% said that all other things being equal, they'd be more likely to book with a dental practice that chooses to share pricing information on their profile than one that doesn't. In fact, 58% of patients even told us they've avoided or even delayed making a dental appointment because of uncertainty around costs.

By updating your profile to display examples of treatment and treatment bundle pricing using the Treatment Costs tool in Practice Admin, you can improve the experience for your patients, as well as your booking performance.

Introduction to displaying treatment pricing examples on your profile

To access the feature, login to Practice Admin, and click on Connections > Patient Connect profile > Treatment costs


We've made it easier to provide more important information for both new and existing patients seeking to book with your practice;


  • Select from any ADA code to display examples of your individual treatment pricing
  • Create treatment bundles to help patients understand common appointment types, like a 'Check-up and clean'
  • Manage all of your treatment pricing anytime within Practice Admin, including customising your display names and bundle descriptions.

Patients are also clearly informed all pricing published on profiles is indicative only, and may change based on the nature of the treatment and their private health insurer.

Easy for your patients to understand

Patients will be able to see a full breakdown of all treatments and treatment bundles that you wish to display on your profile.

They’ll continue to be able to see any additional information about special offers via the Health Promotions feature included in our Patient Connect Premium plan.

Easy for you to manage

You’ll be able to manage the treatment pricing displayed on your profile all from within Practice Admin, by clicking on Connections > Patient Connect profile > Treatment Costs.

What Patients see on Practice Profiles

Patients are made clear that all pricing displayed is indicative only, and may vary based on;

  • Treatment received during the appointment
  • If they have preferred provider health insurance.

Treatment bundles are displayed ahead of individual treatments, with patients able to then click to expand the detail of any given Treatment Bundle to see what treatments are included.

Patients can click to see a breakdown of all treatments included in a bundle. 


All about Treatments

We'll get you started by listing a range of common treatment ADA codes. Simply enter your standard price for each and click 'Save and Publish' to have these treatments displayed on your profile. You can also edit the display name for each treatment.

Only treatments saved with a valid price (numerical only, no characters) will be displayed on your profile – any treatments with their price field left blank will not be displayed.

A treatment can only be added once and a price range cannot be displayed for an individual treatment. If you have different pricing for a particular ADA code (e.g. new/existing patient, or adult/child), the reduced rate would need to be displayed as part of your Health Promotions or your practice profile description.

Adding a Treatment

To add more treatments to your profile, click on the 'Add a treatment' button.

From here, you’ll be able to;

  • Search by ADA code or name to select the relevant treatment
  • Modify the display name on your profile
  • Enter your treatment price.


Edit or remove a Treatment

You can modify any of the treatment details on the main 'Treatment costs' page.

There are 2 ways to remove a treatment from your profile;

  • Remove the treatment price from the 'Fees' field, then click 'Save and Publish', or;
  • Click on the trash can icon next to the treatment, then click 'Save and Publish'.

Please note that you can only remove a treatment that isn’t included in a Treatment Bundle. To remove a treatment that has been added to a Treatment Bundle, first click the pencil icon next to the relevant Bundle to edit it, then deselect the Treatment from within the Bundle menu, click 'Save and publish' from within the Bundle menu, and then delete the individual treatment from the main 'Treatment costs' page. 

All about Treatment Bundles

Treatment Bundles allow you to show examples of common appointment types on your profile by bundling together the selection of treatments that might normally occur as part of that appointment.

We’ll get you started with a standard 'Check-up and Clean' treatment bundle which you’ll be able to edit before publishing to your profile.

While there may be a range of treatments that could occur in a given treatment bundle, select only those that will most commonly occur as part of that particular appointment - e.g. if part of a check-up and clean you would conduct either a Consultation (014) or Extended Consultation (015), select the one that is the most common for that appointment type, rather than both, given you would not conduct both in the same appointment.

Add a Treatment Bundle

When you click on the 'Add treatment bundle' button, you'll be presented with 3 simple steps to add your bundle.

Step 1 - Select a treatment template, or add your own treatment bundle name

  • By selecting a treatment template, we'll pre-fill the treatment bundle name, description, and selected treatments to make it quicker for you to create common bundles. We'll be adding more treatment templates over time.
  • If not selecting a template, simply enter a name that best describes that appointment type for your patients.

Step 2 - Add a description (optional)

Here you can provide additional detail to explain the treatment bundle to patients, which will also be displayed on your profile.

Step 3 - Select the treatments included in the bundle

  • We'll list all of the treatments included on your main 'Treatment costs' page; however, you can also click to add any additional treatments here
  • Select the number of times the treatment occurs as part of the bundle.

Please note that Treatment Bundles are not linked to the actual appointment types that a patient can book with your practice on HealthEngine. These are simply a way to help patients understand common appointment types and associated costs.

Edit or remove a Treatment Bundle

Simply click on the pencil icon to make any changes to your bundle name, description, or included treatments, or click the trash can icon to remove the bundle altogether.

Frequently Asked Questions

Q. We have special offers/discounted rates, how do we display these?

A. Treatments and Treatment Costs will display your standard rate for their respective ADA codes. Any discounted rates (e.g. for children over adults), or special offers, can be displayed as part of the Health Promotions feature included with Patient Connect Premium. Using this, you can display any additional special offer information on your profile.

We'll also be making a range of improvements to the Health Promotions functionality in the near future, including the ability to link these directly to your treatments and treatment bundles.

Q. Our rates vary depending on the Private Health Insurer of the Patient, how do we display these?

A. Patients are clearly informed on your profile that the information displayed in the pricing guide may vary depending on their private health insurer.

You can already indicate on your profile which are your preferred private health insurers, and can add any additional information to your treatment bundles description if you wish.

We'll also be making further improvements to treatment information in future to allow you to indicate different rates by provider.


Q. The treatments we'll perform can change depending on what the patient needs once they're in our practice; how do we display this?

A. Treatment bundles are designed to help show a common, standard example for a given appointment type. Patients are clearly informed on your profile that these prices are indicative only, and may change depending on the treatment required.

You can also choose to create a range of different Treatment Bundles to help show the most common variants to standard treatments. For example, you might create different versions of a standard Check-up and Clean bundle

  • 'Check-up and Clean' bundle, and a;
  • 'Check-up and Clean with X-ray' bundle.

You could even add a 3rd 'Check-up and Clean with Panoramic X-ray' if you happen to perform both types, and can explain in the description when one might be performed instead of the other.


Q. We offer products that don’t have an ADA code. How do we display prices for these?

A. The pricing guide on your profile can currently only display treatments that are linked directly to an ADA code. If there are additional products that your practice offers and that you want to promote on your profile, these can be added to your profile description.
