Healthengine integrates with MedicalDirector/PracSoft to determine which recalls to display in the Healthengine Recalls Interface. This guide will help you understand where Healthengine reads information from within MedicalDirector/PracSoft, how it interprets recall data, and how notes are added to the system.

Where Does Healthengine Read Recalls From?
Healthengine reads recall information from several areas within MedicalDirector/PracSoft, both inside and outside the patient record:

Within the Patient Record:
- Items in the Results tab
- Items in the Letters tab
- Items in the Document tab
- Items in the Correspondence tab

Items in the Recall Items menu - this can be accessed using the Recalls button that appears in the top menu, above the ‘HealthLink’ / ‘MDExchange’ tabs

Outside the Patient Record:
- Items in the Search > Recall menu - this can be accessed from the navigation bar along the top of the home screen
- Items in the Correspondence > Actioned Items menu - this can be accessed from the navigation bar along the top of the home screen
Note: Items in the Correspondence tab of a patient’s record will also appear in the Correspondence > Actioned Items menu. Similarly, items in the Recall Items menu will also appear in the Search > Recall menu.
Where does Healthengine read the ‘Recall Due’ date from?

Healthengine determines the Recall Due date from two locations within MedicalDirector/PracSoft, depending on the type of recall:
- Document-type recalls: Healthengine reads the 'Document Date' as the ‘Recall Due’ date.
- Regular recalls: Healthengine reads the 'Due Date' as the ‘Recall Due’ date.
Understanding Recall ‘Urgency’ and ‘Type’

Recall Urgency:
- For items in the Results, Letters, Documents, or Correspondence tabs, right-clicking on any item and selecting Action will bring up the Action dialogue box. The Notations field in this box is where Healthengine reads the recall ‘Urgency’.
- For clinical recalls in the Recalls section, urgency is indicated by whether the recall was marked as Return Urgently in the Recall Options.
Tip: To maintain consistency, it’s recommended that practices create pre-determined
Notation
options to avoid variations due to typos or different spellings. -
Recall Type:
- In the Recall Items and Search > Recall menus, Healthengine interprets the Recall Reason as the recall ‘Type’.
- In the Correspondence > Actioned Items menu, as well as the Letters, Results, Documents, and Correspondence tabs in the patient record, Healthengine reads the Subject as the recall ‘Type’.
What does Healthengine Recalls consider a ‘closed’ recall?
A recall is considered ‘closed’ by Healthengine if:
- It has been ‘deleted’ or ‘notified’ in MedicalDirector/Pracsoft.
- The Notation field is set to No Action.
- The Checked By and Checked Date fields have data.
Note: If the Notation field and Notified Date field are both empty, the recall is considered OPEN.
Adding Notes in MedicalDirector/Pracsoft
When a recall is processed through Healthengine Recalls, the system puts notes against the recall in your MedicalDirector/PracSoft.
These are recorded in the Recalls or Recall Items section of MedicalDirector/PracSoft, which can be accessed through the patient record by clicking on the Recalls button, as seen below:
All actions completed within the Healthengine Recalls system will be recorded here, including changes to the recall status and whether the patient was able to successfully verify their details and view the message for SMS recalls.
For recalls sent by letter, a copy of the letter content will be saved to the patient record in the Letters tab.
Additionally, you will find some notes added to the Progress tab of the patient record.
Please Note: All notes recorded in MedicalDirector/PracSoft by the Healthengine Recalls system will begin with 'HE - '. This is to signify that the note was added by our system to make it easy to distinguish between these notes and any notes recorded in MedicalDirector/PracSoft by your practice.
