About the New Patient Forms Integrations Follow

Healthengine's New Patient Forms is a feature that allows your patients to complete their New Patient Form online before attending their appointment, saving time for both the patient and your staff!

We send an SMS out to new patients at the time they've booked their appointment, whether it be booked via Healthengine or with your practice directly, requesting patients complete their new patient form prior to their appointment.

If you are using Best Practice, Medical Director/Pracsoft or Zedmed and are integrated with Healthengine, these New Patient Forms will insert into your Practice Management Software as a PDF copy and will also automatically be saved against the patient's record.

This integration feature applies to both on-platform bookings (Healthengine bookings) and off-platform bookings (non-Healthengine bookings made through your practice or a third-party provider).

Below is a list of information Healthengine will automatically integrate into your software for each Practice Management system and where to find it located within.

Best Practice

In Best Practice, most of the information from the New Patient Forms can be automatically added to a patient file, this includes:

  • First Name/Last Name/Preferred Name
  • Date of Birth
  • Gender
  • Medicare card
  • Address Line 1/City/Suburb
  • Mobile Phone/Work Phone/Home Phone
  • Email Address
  • DVA
  • Pension Card or HCC: we can only insert one of these 2x fields
  • Next of Kin/Emergency Contact
  • Marital Status**
  • Occupation**

** - The Marital and Occupation fields will only auto-update to the patient file if your practice is on the latest version of Best Practice Saffron and the Best Practice drug update: Permissions in Best Practice Jade version prevents these fields from auto-populating.

However, the following information cannot be added automatically and will need to be added manually - this information can be obtained from the PDF copy of the New Patient Form that is saved under the 'Correspondence In' section of the patient file:

  • Residential address state/Postal address state
  • Advanced Health Directive for end of life care
  • Country of birth
  • Spoken languages/Preferred language/Interpreter requirement
  • Medications
  • Smoking and alcohol history
  • SMS consent status 
  • Immunisation and pap smear registers consent status
  • Any custom fields added by your practice.

Medical Director/Pracsoft

In Medical Director/Pracsoft, almost all of the information from New Patient Forms can be automatically added to a patient file. However, the following information cannot be added automatically and will need to be added manually:

  • Advanced Health Directive for end of life care
  • Spoken languages (preferred language is added)
  • Medications
  • Smoking and alcohol history
  • Immunisation and pap smear registers consent status
  • Any custom fields added by your practice. 

This information can be obtained from the PDF copy of the New Patient Form that is saved in Medical Director Clinical and can be accessed via one of the three ways below: 

  1. Click on 'File' in the toolbar > Scan/Import Correspondence.
  2. Click on 'Correspondence' in the toolbar > Select 'Check Holding File'
  3. Click on 'Patient' in the toolbar > Click 'Open' > Open the relevant patient file > Click the 'Correspondence' tab   

Please Note: The Next of Kin and Emergency Contact fields will only auto-update to the patient file if the contacts have existing patient files in Medical Director/Pracsoft database - this is a requirement from Medical Director.

Zedmed

In Zedmed, much of the information from New Patient Forms can be automatically added to the patient file. However, the following information cannot be added automatically and will need to be added manually:

  • Title 
  • Residential address state/Postal address state 
  • Emergency contact relationship
  • Advanced Health Directive for end of life care
  • Cultural background 
  • Country of birth
  • Spoken languages/Preferred language/Interpreter requirement
  • Medications
  • Allergies
  • Smoking and alcohol history
  • SMS consent status
  • Immunisation and pap smear registers consent status
  • Any custom fields added by your practice. 

This information can be obtained from the PDF copy of the New Patient Form that is saved under the 'Documents' section of the patient file or under Clinical Records > Results > Results Inbox (the Result Type is "Document" and the Result Description is "HealthEngine Patient Form")
