Express Care Document Storage for Integrated and Non-Integrated Practices

This page outlines the differences between integrated and non-integrated practices and how patient's responses and Medical Certificates are treated.

Integrated Practices

For integrated practices (Medical Director, Zed Med, Best Practice), the approved medical certificate (for medical certificates) and the request questionnaire responses are stored in your PMS when the Express Care request is approved and when a matching patient can be found. We inform you when a matching patient file has been found or if there isn't one available. We match based on first name, last name, DOB, mobile, and gender.

The document is stored as a PDF or HTML file in your Correspondence in section of the PMS.

If a matching patient isn't found, you will be required to download the patient medical certificate record, and apply it to the patients file in the PMS manually. You can use the download button next to the patient from within Practice Admin.

Please Note: It is important that you do this, as Healthengine only retains patient request data for 30 days post patient submission. In some cases, your practice is required to hold onto this information for 7 years, making it vital you have your own records outside of Practice Admin.

Non-Integrated Practices

For non-integrated practices, in order to keep records of your patients' request questionnaire answers and in the case of Medical certificates, the approved certificate, you can download each individual patient entry from the Practice Admin > Express Care > Overview page by clicking the download button next to each entry.

Clicking the download button downloads a PDF file of the medical certificate sent to the patient, as well as a record of their answers.

Please Note: It is important that you do this, as Healthengine only retains Medical Certificate data for 4 years post patient submission. In some cases, your practice is required to hold onto this information for 7, making it vital you have your own records outside of Practice Admin.
