Whether it's to receive booking details or important information from Healthengine about a loss of connectivity, it's important to ensure you keep your notification settings up-to-date so that you don't miss any crucial information!
To find your Notification feature with Healthengine, log in to your Practice Admin and navigate to 'Account', then click 'Notifications'.
From this notifications screen you can add, remove or edit the emails attached to your Healthengine Practice Admin account and create a primary contact to receive specific notification emails depending on your practice's preferences.
Adding a Contact Recipient
To add an email address to notifications, simply click the 'Add a recipient' button in the top right-hand corner as seen below:
You'll then be required to enter your details, including an email address and a contact name. The contact name can be the name of the individual or a group i.e., Reception, Support etc.
When you click the 'Add recipient' button you'll see a green tick to acknowledge the recipient has been added successfully.
Editing a Contact Recipient
When editing a contact recipient, you will be able to edit their name as well as the notifications this particular email receives.
To begin editing, click on the pencil icon in line with the email contact.
To switch on or off any particular notification, use the toggles off to the left hand side and be sure to click the green 'Save' icon once you're done making changes.
Please Note: The blue tick means this notification is active to send to this email recipient!
Removing a Contact Recipient
To remove an email address from receiving notifications, simply press the trash can icon in line with the email address.
Please Note: You will not be able to remove an email address if it is the primary contact - check below to find out how to change this.
Changing a Primary Contact
You will notice in your notifications that there is a gold star next to one of your email addresses - this is your primary contact. There must always be a primary contact email address, so you will notice that you cannot delete this email address without first selecting a new primary email contact.
To change the primary email address, simply click the star outline in line with one of your other email addresses. If you don't have any other email addresses listed, add another first and then you will be able to change the primary contact.
You will be asked to confirm your change before you proceed.
Important Notification Notes:
We use the email that you add to your notifications to inform you of important product updates, loss of connection to your server and booking details.
If you do not add any email addresses to your alert notifications you could be in the dark about loss of service. If you are using integrated software we strongly recommend having the alerts notifications added to an email address that will have access to your server computer if the appointment connector needs to be restarted. They will receive email instructions on how to get your bookings back online should that occur.
We also strongly recommend adding the booking notifications to one of your email addresses. If you are worried about the amount of emails you will receive, you could set up a new email address specifically for these, or use the filtering options in your email to move these to a bookings folder.
The reason these are handy is because if there is ever an instance where the booking fails to insert into your appointment book for some reason, be it loss of connection to your server or multiple appointments being booked at the same time, you will still receive the email notification with the booking information so that you can manually add them to your appointment book.
It is your responsibility to ensure that you keep your email notifications up to date and accurate. Please remember to check back in here from time to time to ensure these email addresses are still current.
