Genie - Healthengine's Integration: Benefits & Troubleshooting
This article will go over how Healthengine reads availability from Genie and common problems that may be encountered.
Requirement
Your Genie software integrates via our appointment connector software, which can only be installed on a Windows machine.
If your practice uses Macs, you will also need a Windows machine for us to install on in order to integrate with your Genie software. Please contact our support team if you need any further clarification on this.

Benefits of the Integration for Your Practice
Time-saving: The integration automatically reads and publishes your availability while inserting booked appointments directly into your Genie diary.
Online Cancellations: When a patient cancels through their Healthengine account or confirmation email, the booking will be removed from your Genie diary and marked as cancelled in Healthengine.
Integration Publishing Limit
The default that your integration will publish is 30 days.
The maximum number of days the integration can publish in advance is 365 days.

Creating Availability
There are three methods you can use in order for Healthengine to read available time to publish schedules, pre-set slots, and repeating appointments.
All of these require that you have set the appointment type you are using are enabled to publishing online via Type > Modify and select Make Available Online, and for Healthengine to be linked to the appointment type/s you wish to publish online.
If you wish to add or modify the appointment type/s we are publishing online, please reach out to our friendly Support Team to update this, as it is set up on your installation appointment.
Appointment Schedules
Creating schedules allows you to easily create an ongoing time that will publish online, provided no patients are booked into those slots in the calendar. If you wish to use this method, please reach out to our friendly Support Team to switch over to this method.
First, you need to ensure you have Modify Appointment Schedule permissions via File > Edit > Groups in Genie to create/edit these as the Genie user you are logged in as.
Then you need to ensure Allow Vacant Appointment Slots to be Filled is checked under Appts > Appt Preferences (the Allow Patient Records to be created also needs to be enabled if you wish Healthengine to create patient files in Genie.)
Once the above has been setup you will be able to create and edit schedules with the following steps.

Set your appointment book to provider view by clicking the icon highlighted below (otherwise, all schedules will be hidden).
- Select the day you wish to start the schedule from in the calendar

Set the Appointment Book to Hide Appointments and Show Scheduler as highlighted below.

Select the Type from the top that you wish to apply - i.e. Healthengine

Click and drag over the desired time you wish to create this schedule for, i.e. from 8:30 to 12:00

Then set how often you wish it to repeat.

The two key methods are
Every weekday, which repeats every weekday (i.e.. apply this schedule from Monday to Friday)
Every week will allow you to repeat this schedule for this day every week (i.e. apply this schedule every Thursday).
Once this is done, you should be able to see the schedule in the appointment book, when it was last modified and created etc., and you can update or change this by right-clicking the schedule and selecting Edit Appointment Schedule

Pre-set Slots
This method will allow you to manually select times on an ad hoc basis to publish or remove from publishing online, and can be helpful if you wish to have more detailed control over what is published online.

Ensure Show Appointments is enabled by clicking the calendar button in the bottom left.

Then select the time you wish to create appointments for in the calendar, selecting multiple slots if you wish and select Type > Healthengine (or whatever appointment type you have set up to publish online)

Repeating Appointments
You can set the preset slots set above to re-occur by selecting the slot or group of slots above and clicking the Repeat button
The two key methods are:
- Every weekday, which repeats every weekday (i.e. apply this schedule from Monday to Friday)
- Every week will allow you to repeat this schedule for this day every week (i.e. apply this slot every Wednesday).

Genie Multi Locations
To allow your practice to assign an appointment type to a specific location, so it comes through in HE under a different location - handy for practices with ONE genie server/database and TWO or more HE profiles, we will need to configure your appointment connector to handle this.
It will also require you to use your online appointment types in genie prefixed with L:LOCATION:APPOINTMENTTYPENAME
HTTP Server Has Stopped
We've found that after updating Genie, the HTTP server settings revert to default values, and the HTTP server might not start automatically. It's a simple fix if you know what the values are supposed to be; otherwise, we'll cover how to find them.
Firstly, go to your Genie Server Administration and click on 'HTTP Server'. Here are the things to check or take note of:
- HTTP server - State: Started
- SOAP Requests: Accepted
- HTTP Port: This can be the standard 80 if it's a PC, but for a Mac server it must greater than 1000
- The standard HTTPS port is 443, for Mac it should be greater than 1000
- Take note of the 'Listening to IP' value(s).
Please Note: If the HTTP server is not started, simply click the button to start it.
If you had to manually start the HTTP server, there is a setting to make sure you don't have to continually start it any time the server is restarted or something goes wrong:
- In Genie Server, go to Edit > Database Settings > Structure Settings, and click on the Web tab.
This is where you change settings for the web server. To make sure the web server starts up automatically when Genie starts, check the box 'Launch Web Server at Start-up'.
This is also where you can change the port numbers. Make any changes you require and click ok.
Please Note: If you changed any other settings in that section (other than checking the checkbox), you will need to restart the HTTP server. To do that, go back to the main screen and into the HTTP Server tab. Stop the HTTP Server, wait a few seconds, then Start it again. You should notice the value below change to your new settings. If you skip this step, it will continue to run with the old settings.
If you're still having trouble getting appointments to show online, you might have something misconfigured, or something might have gone wrong with the Appointment Connector. Reach out to our friendly Support Team for further assistance in determining what may be at play.
Bookings Continuously Failing
If you find bookings keep failing, it may be worth checking that the tick box for 'Allow Patient Records to be Created' is still ticked. If this is unticked, no new patients can book, and for existing patients, if the patient details do not match exactly as they are in Genie, the booking will fail.
